How TenFour collects, uses, and protects your information.
TenFour ("we," "us," or "our") operates the website at calltenfour.com and the TenFour web application (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. TenFour is a call sheet management platform designed for film and television productions, enabling assistant directors and production coordinators to create call sheets, manage crew information, and send confirmations via SMS and email.
By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms of this Privacy Policy, please do not access or use the Service.
We collect information that you provide directly to us, information collected automatically when you use the Service, and information from third-party sources.
Account Information: When you create an account, we collect your name, email address, and authentication credentials through our OAuth provider.
Production Data: Information you enter about your productions, including production names, shoot dates, locations, schedules, and production notes.
Crew Contact Information: Names, phone numbers, email addresses, roles, departments, and call times for crew members you add to your productions. This information is provided by you as the production coordinator or assistant director and is used solely for the purpose of sending call sheet confirmations.
Key Contact Information: Names, phone numbers, and roles of key production contacts (e.g., producers, coordinators, medics) that appear on call sheets.
Location Data: Shoot location addresses, parking information, and nearest hospital details that you enter for your call sheets.
Usage Data: We automatically collect information about how you interact with the Service, including pages visited, features used, browser type, device information, and IP address.
We use the information we collect for the following purposes:
TenFour sends SMS messages and emails to crew members on behalf of production teams who use our Service. These messages are transactional in nature and relate directly to call sheet confirmations for specific production shoot days.
SMS Messages: When a production team sends call sheet confirmations, crew members receive an SMS containing their call time, production details, and a link to view the full call sheet and confirm receipt. Crew members can reply "YES" to confirm or "NO" to decline. SMS messages are sent via Twilio, our telecommunications provider. Standard message and data rates may apply.
Email Messages: Crew members also receive an email with the same confirmation information, sent via Brevo (formerly Sendinblue), our email delivery provider. These emails contain call sheet details and a confirmation link.
Consent: Crew contact information is provided to TenFour by the production team (typically the assistant director or production coordinator). By adding crew members to a production, the production team represents that they have obtained appropriate consent from crew members to receive production-related communications. Crew members who do not wish to receive messages should contact their production coordinator directly.
Opt-Out: Crew members can reply STOP to any SMS message to opt out of future SMS communications from that number. They may also contact us at [email protected] to request removal of their contact information.
Message Frequency: SMS and email frequency depends on the production schedule. Typically, crew members receive one SMS and one email per shoot day for which they are scheduled. Messages are not recurring subscriptions — they are sent only when a production team initiates a call sheet confirmation for a specific shoot day.
We use the following third-party services to operate TenFour:
We do not sell, rent, or trade your personal information or crew contact data to any third party. Third-party services listed above receive only the minimum data necessary to perform their specific function.
We retain your account information and production data for as long as your account is active or as needed to provide the Service. Crew contact information associated with a production is retained for the duration of the production and may be kept in your crew library for future use across productions.
You may delete individual crew members, entire productions, or your account at any time. Upon account deletion, we will remove your personal data and associated production data within 30 days, except where retention is required by law.
We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include:
